The California Community Action Partnership Association (CalCAPA) is looking for a vibrant professional to join the War on Poverty as the Executive Operations Assistant.  The individual selected will play a critical role on the CalCAPA team as we seek to eliminate poverty by providing superior Executive, Operations, and Member support.  CalCAPA is focused on empowering as well as equipping the Community Action Agencies who are waging the battle across California.  The candidate chosen must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-focused and community oriented.

Under the direction of the Executive Director, performs a wide range of bookkeeping, administrative, operational, executive and staff support duties. Provide support to the association Executive Director, staff and Board of Directors. Assists with association programs, projects, meetings/events, promotion, office coordination and database/mailing lists.

• Performs Accounts Payable processing including ensuring all invoices are paid timely, coding transactions and printing AP checks
• Performs Accounts Receivable processing including preparing payments for deposit and posting to proper accounts
• Manages annual Membership renewal including invoicing, monitoring cash receipts and proper communication and follow up of unpaid membership dues
• Properly codes all expenditures approvals to appropriate grant or program under supervision of CFO/Consultant
• Creates and enters all standard journal monthly entries under supervision of CFO/Consultant
• Maintain proper and efficient filing of all records related to the financial department in accordance with policies and procedures
• Assist in preparing documents for annual audit
• Participates and supports annual budgeting process, particularly reviewing projected expenditures for travel, office supplies, etc.
• Assist in the selection of vendors, equipment, supplies and services
• Perform follow-up on action items
• Prepare and/or edit Executive Director and staff internal and external reports, letters and drafts, as needed
• Assist with logistical planning and implementation of association and national network conferences
• Assist with meeting agendas and minutes
• Maintain membership and network database
• Maintain association social media sites
• Arrange for Executive and staff travel – hotel, transportation and airfare
• Assist the Executive Director by scheduling and managing an extremely active calendar of appointments
• Other duties as assigned
• Overnight travel is periodically required
• Must be able to provide proof of a valid driver’s license and current vehicle insurance
• Must periodically utilize personal car for reimbursement travel
• Association experience preferred

• Three (3) years of increasingly responsible and directly related clerical, secretarial or administrative support experience, preferably including public contact
• Specialized training in clerical practices, financial recordkeeping and customer service
• Knowledge of low income and community action issues and experience working with a diverse population

• Excellent telephone etiquette
• Modern office procedures, machines, software/applications, practices and techniques
• Customer service principles, including handling of irate or distressed individuals
• Principles of business letter writing, basic report preparation, meeting agenda and minute preparation
• Knowledge of basic financial recordkeeping and business mathematics
• English usage, spelling, grammar, punctuation
• Communication skills
• Type at a speed necessary for successful job performance
• Respond to inquiries and requests from the network, general public, state and federal representatives
• Communicate clearly and concisely, both orally and in writing
• Follow oral and written instruction
• Use resources effectively and problem‐solve

REPORTS TO: Executive Director
STATUS: Non-Exempt
SALARY RANGE: $18.00 – $22.00 an hour
BENEFITS: Medical, dental, vision, retirement, vacation, sick leave
